Job Purpose
The Program Officer - Special Assistant will strategically support the Executive Director with tasks relevant to the day‐to‐day running of the Country Office and these will include strategy and policy formulation, communication with internal and external stakeholders, supervision of operations, and preparation/attending for Board meetings. Work closely with the Executive Team in contributing and managing to the Executive Director’s strategic outreach plan.


Summary of Key Responsibilities;
  • Working closing with the Executive Team to support the ED strategically in the development of Policies, Strategies, Operational Procedures and Annual Plan for the Country Office and ensure that they are well aligned to global corporate policies.
  • Attend meetings, coordinate special projects and travels with the ED on official visits.
  • Work closely with the Communication and PR Head to draft all correspondence for the ED’s office and contributes to the preparations of speeches, reports and presentations
  • Careful review Units/Division’s correspondence (i.e letters & proposals) drafted for the ED’s approval to ensure clarity and that the ED’s position is clearly reflected
  • Fully responsible for answering all incoming lines and receiving visitors to the ED’s Office. In addition, perform a variety of routine to complex administrative support duties.
  • Provision of timely feedback/exchange information with the focal points in the Divisions (Departments)
  • In the absence of the ED, attend Departmental and External meetings and prepare notes/reports for the ED
  • Monitor performance of different units, including HR, Programme, Budget and Programming, Partnerships, and Communications against set targets.
  • Contribute to effectiveness, accuracy and timeliness of the ED’s communication and information flow with other Senior Managers and staff, other Regional Offices
  • Conduct Daily and Weekly critical reviews of the Executive Diary to ensure that at all times the ED’s day-to-day schedule is well planned and serviced in terms of background briefs and issues to be covered in the meetings
  • Take the lead in organizing all public engagements for the Executive Director; Functioning professionals in private industry and a diverse group of stakeholders   
  • Assisting with other necessary tasks as defined by the Executive Director as they present themselves.

Primary Areas of Accountability:
Qualifications and Experience
  • Degree in International Affairs, Development Studies, Economics or other field relevant related to International Development
  • Minimum 7 years of relevant experience in a similar professional capacity related to Development Programs
  • Must have a minimum of at least 3-4 working for an International NGO or Corporate Organisation as Program Assistant /Coordinator/ Officer OR Executive Assistant
  • Proven Experience in Programs Monitoring and Analysis
  • Must have Experience in Policy Formulation, Review and Implementation
  • Experienced in managing relations with Donors, International Organisations and Government Institutions
  • Must have experience in Reviewing and Writing Donor Proposals
  • Excellent written and oral communication skills in English are essential for this position; Well vested in advanced program functions, such as forms and mail merge.
  • Experience using Microsoft Access for data entry and drafting data reports.
