Description:
The Inventory Officer will be responsible for packaging, protecting, and routing materials to various destinations including departments, plants, sites, customers, and vendors. This role involves handling both domestic and export materials, performing shipping tasks, and managing the flow of materials through the department. Be responsible for managing the inventory, storage, and distribution of spare parts for machinery or vehicles.
Summary of Key Responsibilities:
- Maintain an accurate inventory of spare parts and ensure stock levels are adequate.
- Coordinate with suppliers to procure necessary parts in a timely manner.
- Ensure proper storage and labelling of parts to facilitate easy access.
- Work the Stores Manager to enhance the design & implement complete normative guidelines, systems and procedures for stock and assets management.
- Assist in establishing and maintaining a complete supply chain transport/delivery network for all spare parts / materials (NFI) to deliver goods on a regular & timely basis.
- Pick and deliver materials based on pick tickets, ensuring accuracy in part numbers and quantities.
- Pack materials according to specifications using appropriate packing materials and methods.
- Perform outside crating for oversized items and construct crates, boxes, or skids when needed.
- Monitor and maintain stock levels to ensure parts availability.
- Take charge of warranty processing and claiming
- Manage the ordering process, including negotiating with suppliers for the best terms.
- Oversee the receiving, labelling, and storage of spare parts.
- Coordinate with the maintenance team to ensure parts are available for repairs and servicing.
- Keep the store clean and organized, including shelves, displays, and work areas, to provide a pleasant shopping experience for customers.
- Verify that quality of items to be procured/fabricated is of high standard and meet the requirements; also advise on the specifications when necessary.
- Verify material quality and quantity against vendor and company documentation.
- Receive, count, sort, audit, and store materials in designated locations using business management systems.
- Stay updated on industry trends, new products, and advancements in vehicle parts to provide up-to-date information to customers.
- Comply with safety regulations and maintain a safe working environment by following proper handling and storage procedures for hazardous materials.

Primary Areas of Accountability:
Qualifications and Experience
- Diploma in Supply Chain Management, CIPS or Stores Management
- Must have a minimum of 3+ years previous experience in a machinery and vehicle parts store or similar environment
- Familiarity with inventory management systems and procedures.
- Knowledge of heavy duty machinery/vehicle parts and accessories, including different makes and models will be a plus
- Must have experience managing and processing spare parts warranty claims
- Strong attention to detail and ability to report discrepancies.
- Ability to work independently and follow established procedures.
- Ability to work flexible hours, including evenings and weekends, as needed.
- Must be a member of ZIPS
